synchronization process between outlook client and CRM v4.0

Hi CRM Expert,

We have user sending email to Pop3 server and email router is configured to fetch those emails to CRM. But when the regarding value of email from CRM is updated with incident subject (lets say its tied to incident). The value of regarding object from outlook email supposed to be updated as in CRM email.

But somehow,  sometimes the value is update only after a while like 10 mins. But sometime, the value get updated within few seconds. So I would like to know how the synchronization process is behaving and can we configure the synchronization to update instantly?
